Set members, roles and service permissions on one screen

In the Admin console, you invite members and set their roles. You set in a table which services each role can use, and add exceptions only for the people who need them. Company settings that also reach AI Crew, such as the organization time zone, are set here too.

Designed for: For admins and IT staff who run the workspace.

When you need it

When a new employee joins, you have to open Mail, Messenger, Approval and Drive permissions separately in each service. If you miss even one when someone leaves or changes teams, it becomes a security problem.

In the Admin console, when you give a member a role, the role × service permission table decides which services they can use. One sign-in applies the same permissions across all services.

For a company with a time difference from an overseas OEM factory, the reference time matters too. Once you set the organization time zone, AI Crew handles events on the same basis.

How it differs from general work tools

Key features

Members, invitations and roles

You invite members and set their roles. The role decides which screens each person sees and what they can do in each service.

Role × service permission table

You set in one table which roles can use which services. A new member can use the services they need as soon as you set their role.

Individual exceptions

You add individual exceptions only for people who need permissions different from their role. You manage just the exceptions without disturbing the role table.

Organization time zone

You set your company's reference time zone. This setting also reaches AI Crew, so events and report times are handled on the same basis.

Workspace profile

You manage your company profile shown in the workspace. It is offered first as a beta.

02PersonChecks permissions

The role × service permission table opens Mail, Messenger, Drive and Approval, and the admin adds TradeFlow as an individual exception.

03PersonSets the time zone

The admin sets the organization time zone to match headquarters. This setting also reaches AI Crew.

04AI CrewWorks on the same basis

The new planner's assistant AI Crew organizes the Today brief and events based on the company time zone.

Frequently asked questions

Do we have to give permissions separately for each service?

No. When you set them by role in the role × service permission table, one sign-in applies the same permissions across all services.

Can we open more services to just one person?

Yes. You can add an individual exception for a person who needs permissions different from their role.

Where do we set AI Crew permissions?

AI Crew works only within the permissions of the person who gave it the work. When you set a person's role and permissions, the AI Crew that person works with does not go beyond that range either.

Can we loosen the human check rules?

Admins can only make check rules stricter. By default, external sending, external sharing, deletion, approvals and payments either need a person to check or are done only by people.

What changes when we change the organization time zone?

Your company's reference time changes, and AI Crew also handles events and reports on the new basis.
